Record your main company greetings (easy attendant)

You will need three pieces of information to set up your main company easy attendant greetings:

  • Your EASY ATTENDANT telephone number
  • Your personal identification number (PIN)
  • Your greeting scripts

You should perform these recordings from a Qubic extension in a private office with the door closed and no background noise or distractions.

The Qubic extension you are using must NOT have the SKIP PIN feature enabled, and it must require a password.  This extension must also have a voicemail box that has already been set up.

You can also perform these recordings from outside the office, from a non-Qubic extension. To do this, call 602-445-7770 instead of following step 1 below.

Follow these steps to record your EASY ATTENDANT greetings:

  1. Press your VOICEMAIL button or dial *98. Wait for the system to ask for your PIN. DO NOT ENTER your PIN. Instead, press *. The system should then prompt you to enter your area code and phone number.
  2.  Enter the 10 digit area code and phone number of your Easy Attendant, and press #.
  3. Enter your EASY ATTENDANT PIN (password), and press #.
  4. Press 1 to change your Easy Attendant Configuration.
  5. Press 2 to edit your business hours (day) announcements, or press 3 to edit your non-business hours (night) announcements.
  6. Press # to edit the initial greeting, or press the digit corresponding to the option which has an announcement that needs to be recorded.
  7. Your current announcement is played. To re-record the announcement, press 1.
  8. Record after the tone. Press # when finished recording. New announcement is played back to you. Press 1 to keep it.
  9. You may press * to exit to the previous menu.

Here is an example of recording the day time and night time announcements for a customer with Easy Attendant phone number 4801501234 and PIN 9876:

  1. Press VOICEMAIL button. System answers asking for my PIN, I press *. System prompts for an area code and phone number.
  2. I enter my Easy Attendant phone number 4801501234 and press #.
  3. I enter PIN 9876 and press #.
  4. I press 1 for easy attendant configuration.
  5. I press 2 to edit my business-hours announcements.
  6. I press # to record my business hours main greeting. Current greeting is played back.
  7. I press 1 to re-record my business hours main greeting.
  8. I record the new greeting after the tone and press # when I am finished.
  9. New greeting is played back to me. I accept it by pressing 1.
  10. I then press * to return to the previous menu.
  11. I press 3 to edit my non-business hours announcements.
  12. I press # to record my non-business hours main greeting. Current greeting is played back.
  13. I press 1 to re-record my non-business hours main greeting.
  14. I record the new greeting after the tone and I press # when I am finished.
  15. New greeting is played back to me. I accept it by pressing 1.
  16. I hang up.
Set up Bria Softphone for iPad

You will need two pieces of information to set up the Bria softphone app on your iPad:

  • Your Qubic telephone number
  • Your registration password

You will also need to download and install the Bria Softphone for iPad from the Apple App Store.

Setup instructions:

  1. Launch Bria App
  2. Click on SETTINGS icon in upper right corner (wrench icon).
  3. Accounts tab should be selected by default on the left, on the right are shown a list of accounts that are configured. If this is a new installation there will be no accounts shown on the right.
  4. Click on the (+) button in the upper right hand corner to add an account.
  5. List of VoIP providers will be shown. Select [SIP] option (should be the first option).
  6. Complete NEW SIP ACCOUNT information as follows:
    • Account Name: your complete phone number with no separating characters, i.e. 6028451698
    • Display As: leave blank
    • Username: your complete phone number with no separating characters, i.e. 6028451698
    • Password: enter the registration password given to you by your Qubic representative
    • Domain: 192.168.200.40
    • ENABLED: Leave at OFF until all settings are complete
    • VM Number: *98
  7. Click on ACCOUNT ADVANCED option at the bottom of the screen.
  8. Complete ACCOUNT ADVANCED information as follows:
    • —Account Additional—
      • Out. Proxy: sip.Qubic.com (press DONE button in upper right corner after finished entering address)
      • Auth Name: leave blank
    • —DTMF Type—
      • Send DTMF using: keep at default – RFC2833
    • —Network Traversal—
      • GLOBAL IP WIFI: keep at default – OFF
      • Global IP MOBILE: keep at default – OFF
      • CONNECTION REUSE: keep at default – On
    • —Call Dialing—
      • Use Tel Uri: keep at default – Off
    • —Transport and Security —
      • SIP Transport: keep at default – UDP
      • Encrypt Audio: keep at default – Never
    • —SIP Registration—
      • Incoming Calls: keep at default – On
      • Single Register: keep at default – Off
      • Refresh Interval: keep at default – 900
    • —Keep Alive—
      • WiFi Interval: keep at default – 30
      • Mobile Interface: keep at default – 9
  9. Click on <<<New SIP Account button at top left of Account Advanced screen
  10. Set ENABLED option to ON. Status should now show REGISTERED at top of screen
  11. Click on SAVE button at top right of screen.
  12. Click on CLOSE button at top left of screen to close SETTINGS screen.
  13. Make a test call by clicking on the dialpad button at the top near right corner.
 
Set up Bria Softphone for Android

You will need two pieces of information to set up the Bria softphone app on your Android device:

  • Your Qubic telephone number
  • Your registration password

You will also need to download and install the Bria Softphone for Android from the Google Play Store.

Setup instructions:

  1. Launch Bria App
  2. You should see a status message informing you that you don’t have active accounts. Click on the Add Account button.
  3. List of VoIP providers will be shown. Select [SIP]  / Generic option (should be the first option).
  4. Complete NEW SIP ACCOUNT information as follows:
    • Account Name: your complete phone number with no separating characters, i.e. 6028451698
    • Display Name: your complete phone number with no separating characters, i.e. 6028451698
    • Username: your complete phone number with no separating characters, i.e. 6028451698
    • Password: enter the registration password given to you by your Qubic representative
    • Domain: 192.168.200.40
    • Outbound Proxy: sip.Qubic.com
    • Authorization name: your complete phone number with no separating characters, i.e. 6028451698
    • Voicemail Number: *98
  5. Click on ACCOUNT ADVANCED option at the bottom of the screen. Complete as follows:
    • Global IP: Unchecked (default)
    • Global IP 3G: Unchecked (default)
    • SIP Transport: UDP (default)
    • Encrypt Audio: Never (default)
    • —SIP REGISTRATION—
      • Incoming calls: Checked (default)
      • Single Register: Unchecked (default)
      • Refresh Interval: 900 (default)
    • —UR FORMAT—
      • Use tel URI: Unchecked (default)
    • —KEEP ALIVE—
      • Wi-Fi Interval: 30 (default)
      • 3G Interval: 9 (default)
  6. Press BACK button on Android Device to exit Account Advanced screen
  7. Press BACK button on Android Device to exit Account Setup screen. List of accounts should now show that the account you added is active and registered. Should show a large green arrow pointing right at the left side of the account, and a smaller blue and green arrow pointing right and left showing that the Bria softphone app is registered and communicating. If there is an error registering the device, you should receive an error message. If this happens, review the steps above and insure all data was correctly entered including proper capitalization of the password.
  8. Press BACK button on Android Device again to exit the accounts screen and return to the main screen to make and receive calls.
  9. Click on SAVE button at top right of screen.
  10. Click on CLOSE button at top left of screen to close SETTINGS screen.
  11. Make a test call by clicking on the dialpad button at the top near right corner.

NOTE REGARDING WIFI and 3G/4G: 3G/4G internet access is often not suitable for VOIP. Consequently, by default, the Bria softphone app has cellular data access disabled and only allows the app to be used while on WiFi. You can override this setting, but please be aware that audio quality on 3G/4G data networks may vary greatly.

To allow cellular data in the Bria softphone app:

  1. Select MORE option at bottom of screen.
  2. Select SETTINGS option.
  3. Select USER PREFERENCES
  4. Change the ALLOW CELLULAR DATA option to CHECKED.
Activate my SKIP PIN feature
The SKIP PIN feature allows you to access your voicemail quickly when you are at your office telephone.  When SKIP PIN has been activated, just press your VOICEMAIL button and you will be logged immediately into your voicemail box, without requiring a PIN for authentication. The SKIP PIN feature does not remove the PIN from your account, and it will still be required when attempting to access your voicemail box remotely.
 
The SKIP PIN feature setting can be changed from your phone or from the internet user commportal.
 
To change the SKIP PIN feature via your telephone:
  1. Press your voicemail button (this should immediately log you into your mailbox since you currently have SKIP PIN turned on. If SKIP PIN is not turned on, you will have to enter a PIN to continue.)
  2. Press 4 for mailbox settings.
  3. Press 3 for security options.
  4. Press 3 for the SKIP PIN feature.
  5. Press 1 to toggle the setting of the SKIP PIN feature.
  6. Hang up.
 
To change the SKIP PIN feature via the user commportal:
  1. Open an internet browser on your computer, such as Internet Explorer, Safari, Chrome or Firefox.
  2. Visit the Qubic website and select the “user commportal login” option at the top of the screen.
  3. Enter your phone’s direct phone number (shown on your phone’s display screen when the phone is idle).
  4. Enter the user commportal password (should be printed on your user guide; if not, contact us)
  5. Commportal dashboard is displayed. Click on the SETTINGS option on the top ribbon menu of the user commportal.
  6. You should now see the tabs for the various settings & options. Click on the MESSAGES tab.
  7. You should now see the settings & options for messages. Click on the Mailbox Access option.
  8. Change the setting of the SKIP PIN feature by checking or unchecking the option box.
  9. Click on the APPLY button at the bottom right.
  10. You may close the browser window.
 
Change iFax Email Delivery Address
  1. Open a browser and visit www.qubictelecom.com.
  2. Hover your mouse pointer over the LOGIN menu option and select USER COMMPORTAL LOGIN.
  3. Enter your fax number and password, and click LOGIN. User Commportal window is displayed. If you don’t know your password, contact the Qubic service department at 602-445-7777 ext 1, or email info@qubic.com.
  4. On top menu ribbon, click on SETTINGS.
  5. Under settings, click on MESSAGES tab.
  6. Insure that the option “Forward messages and faxes as emails” is checked.
  7. Add, edit, or remove email addresses.
  8. If you want to retain a copy of the faxes you have received in the user commportal mailbox, insure that the option “Leave original in inbox” is checked.
  9. After all changes are made, click on the APPLY button.

CAUTION: If you check the “Leave original in inbox” option, faxes will accumulate in your user commportal mailbox. It is possible for this mailbox to become full. It has a capacity of approximately 5000-10000 faxed pages, depending upon the composition of the documents. The system purges faxes after 30 days. If enough faxes are received within 30 days to cause the mailbox to fill up, it will not be able to receive any faxes until the messages are deleted (and permanently deleted using the DELETED MESSAGES tab). A good practice is that if you expect to receive more than 100 pages per day, you might want to consider NOT checking the “Leave original in inbox” option so as to prevent the mailbox from filling up and possibly missing faxes.
